Who we are
The Sourcing Engine is a product of FTR ST8 B.V. (Dutch Chamber of Commerce no. 98243128), which operates this website, thesourcingengine.io, and is the controller of the personal data described in this notice. For anything in this notice, contact us at demo@thesourcingengine.io.
What we collect
This website has no forms. To book a demo you pick a time on our booking page in Google Calendar and enter your first name, surname, email address and company there. Team size, and one line on the vacancy you'll bring and how you found us, are optional. If you email us, we receive what you write. The site sets no cookies and runs no advertising trackers. It counts visits without cookies; see "Visit statistics" below.
Why and on what basis
We use your details to prepare and hold the demo you booked, to follow up on it until you decide — including a call at a time you agree to — to learn which channels bring demo requests (the optional "how did you find us"), and to answer your questions. The legal basis is legitimate interest (GDPR art. 6(1)(f)): responding to a request you made, and knowing which channels work. You can object at any time, and we stop. Apart from replies to you and emails about your demo, we email you only if you agreed to it, on a call or in person, and only for what you agreed to. Our monthly update goes only to people who also confirmed by email (see "Sales contact").
Where your data goes
Your booking is made on a Google Calendar booking page and lands in the calendars of the colleagues who run our demos. Email reaches our mailbox. Both, and our notes on them, are hosted by Google (Google Workspace), which processes them on our behalf. Google can process them outside the European Economic Area (EEA). Nothing is stored on this website. Vercel, our hosting provider, processes technical request logs to serve the site, and counts visits for us (see "Visit statistics"). We do not sell your data and we do not share it for advertising.
Visit statistics
We count page visits and button clicks with Vercel Web Analytics, without cookies. Vercel, our hosting provider (Vercel Inc., USA), does this on our behalf under its data processing agreement. Vercel may process this data in the USA. That transfer is covered by the EU–US Data Privacy Framework, under which Vercel Inc. is certified. To tell one day's visits apart, it makes a hash of your browser's request and discards it after 24 hours. We look only at totals (page, referrer, country, device type, campaign tag, which button was clicked), keep them for at most 24 months, never combine them with your booking and never try to identify you. The legal basis is our legitimate interest in knowing which pages help people book a demo (GDPR art. 6(1)(f)). You can object at any time by email: demo@thesourcingengine.io.
Sales contact
This section covers how we contact people about The Sourcing Engine, and how we follow up when you contact us. If we called you and pointed you here, this is what we do with your details.
Whom we contact, and how
We offer a demo to people who decide on tools at recruitment agencies and in-house recruitment teams, and propose a partnership to trainers, coaches and advisers who work with them. We contact them in these ways:
- Business calls to companies that could use The Sourcing Engine or partner with us
- Follow-up when you book a demo, email us or call us, including the colleagues or the decision maker you bring in
- Calls to people we know personally, from our own network and our own LinkedIn connections
- Follow-up after we met you at an event
- A reply to an introduction by a partner or a customer, who asked you first
We only call you unasked if your company is a legal entity, such as a BV or NV, and has not opted out of unsolicited advertising in the KvK business register. Sole traders, partnerships and companies whose legal form we don't know hear from us only if they contact us first or agree to it in person. We don't record our phone calls.
Where your details come from
Company details come from the KvK business register and the company's own website. Your name, role and business number or email address come from one of these:
- The company's website or its reception
- Your LinkedIn profile, looked up by hand. Apart from your name and role, we keep only the link to it, nothing else from the profile
- Our own contacts and LinkedIn connections, if we know you
- An event: where we met, or the organiser's list if you agreed there to hear from us
- A partner or customer who introduced you, or a colleague who booked a demo and invited you or named you
- You
The first time we contact you, we tell you which one. We don't use data brokers, and we don't collect names automatically. We only call a number that the company publishes or that you gave us. If it turns out to be your private number, we stop and don't use it again.
What we keep
- Your name, company and role
- Your business phone number and/or business email address, with where we got each one
- Company details, such as legal form, size and website
- If we know you personally: how we know each other
- At most a link to your LinkedIn profile
- When we added your details, and when we first told you where they came from
- Notes on our calls: the date, who called, the outcome, a callback you agreed to, and a short, factual note on the next step or your objection
- If you have a demo with us: what you tell us about your team, such as the number of recruiters, your fees, the systems you use, when your contract ends and who signs
- Where we are in the sales process, which channel brought your demo request and, if you decide against us, the reason
- What you agreed to, if anything: the channel, your exact words, when, and who heard it
- Any objection: when, how and what it covers
Our notes never hold an opinion about you. We don't profile or score you, and no decision about you is automated.
Why, and on what basis
We use these details to offer you a demo of The Sourcing Engine, to plan it, and to follow up on it until you decide. We also use them to propose a partnership to trainers, coaches and advisers. And we use them to respect what you agreed to and what you objected to, and to see which channels bring demo requests.
For our monthly update, the legal basis is your consent (GDPR art. 6(1)(a)). You can withdraw it at any time; that doesn't affect what we did before you withdrew it. For everything else here, it is our legitimate interest in selling our software to businesses (GDPR art. 6(1)(f)).
Email and LinkedIn messages
We answer your own emails, and we email you about a demo you booked or an introduction you agreed to. Any other email from us goes only to people who agreed to it, on a call or in person, and only for what they agreed to: the calendar invitation, at most two short follow-ups over two weeks, or our monthly update.
The monthly update goes only to people who said yes and then confirmed it by email. If you don't confirm, we delete your yes 30 days after the email that asked you to. You can stop any of our emails at any time, from the email itself.
We send a LinkedIn message about The Sourcing Engine only to someone who said yes to that. If you agree on a call, we may also connect with you on LinkedIn. LinkedIn handles that connection under its own privacy policy.
Saying no
You can object at any moment, and we stop. Say so on the call, reply "stop" to any email, or write to demo@thesourcingengine.io.
Your objection covers what you say. "No more email" stops email. "Don't contact me" stops everything. If it isn't clear what you mean, we stop everything.
To make sure we don't contact you again, we put you on our suppression list. It holds only your email address or phone number, your company, the date, and how you objected and to what. We check it before we approach anyone.
That entry is the one thing we keep when we delete the rest of your details, also if you ask us to delete everything. We keep it only as long as we need it to keep our promise not to contact you.
Who sees your details
We keep your details in Google Workspace, which processes them on our behalf. Google can process them outside the European Economic Area (EEA).
At FTR ST8 B.V., only the people who make these calls, run our demos or answer privacy requests can see them. We do not sell your details and we do not share them for advertising.
How long we keep them
If we never reach you, we delete your details within 30 days of adding them. A call you didn't answer doesn't count as reaching you.
If we did reach you, we delete them 12 months after our last conversation, email exchange or meeting with you. A callback you agreed to doesn't keep them longer. We clear out old details once a month.
If you objected, your entry on the suppression list stays, as described above.
Using your rights
You have all the rights listed under "Your rights" below. To use them, or to ask where we got your details, email demo@thesourcingengine.io.
How long we keep it
We keep your booking and anything you email us for 12 months after our last contact, then delete it. If you asked us not to contact you again, we keep only a short entry on our suppression list (see "Sales contact").
Your rights
Under the GDPR you can ask for access to your data, correction, erasure, restriction of processing, or a portable copy, and you can object to processing based on legitimate interest. Where we rely on your consent, you can withdraw it at any time; that doesn't affect what we did before you withdrew it. Email demo@thesourcingengine.io and we'll act on it. You also have the right to complain to your supervisory authority. In the Netherlands, that is the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).
Changes and contact
If this notice changes, we update this page and the date at the top. Questions? Email demo@thesourcingengine.io.
